Data Retention Session Only

Our Core Commitment

AppealGen does not permanently store your medical information. All uploaded documents and clinical details are processed transiently during your session and deleted upon completion. We do not sell, rent, or share your personal data with third parties for any commercial purpose.

What We Collect

We collect only the minimum information necessary to generate your appeal letter:

  • Full name and date of birth
  • Insurance policy number and insurer name
  • Description of the denied treatment or service
  • Denial reason as stated in your denial letter
  • Optional: clinical details you choose to provide
  • Optional: contact email for letter delivery
  • Uploaded documents (denial letters, supporting medical records)

How We Use Your Information

Your information is used exclusively for the following purposes:

  • Appeal generation — to construct a structured, evidence-based appeal letter specific to your case
  • Document delivery — to send your appeal letter by email if you provide a contact address
  • Service improvement — anonymised, aggregated usage data only

We do not use your information for advertising, profiling, or any purpose unrelated to your appeal.

Data Storage & Retention

AppealGen is designed with a session-only data model:

  • Uploaded documents are stored temporarily on our server during processing and deleted after your session ends
  • Generated appeal letters are retained briefly to enable the PDF download and email delivery, then deleted
  • We do not maintain a patient database or medical record archive
  • Session data is cleared automatically — no manual deletion is required

Third-Party Services

AppealGen uses the following third-party services to operate:

  • Anthropic API — for AI-assisted appeal letter generation. Data is transmitted securely and subject to Anthropic's data processing terms
  • Gmail SMTP — for email delivery of your appeal letter, if requested

We do not integrate with advertising networks, analytics platforms, or data brokers.

Your Rights

Right to Access
You may request confirmation of what information, if any, we currently hold about you. Given our session-only model, in most cases no persistent data will exist after your session ends.

Right to Deletion
You may request deletion of any residual data associated with your use of the service by contacting us. We will confirm deletion within 14 business days.

Right to Withdraw Consent
You may withdraw consent to data processing at any time by ceasing use of the service and contacting us to confirm deletion of any remaining session data.

Right to Complain
If you believe your data has been mishandled, you have the right to file a complaint with the relevant data protection authority in your jurisdiction.
